Healthicity allows you to customize automatic training notification emails to include your own wording and branding. These customized templates can be used for various system-generated messages sent from the Training Center. This feature is available for clients with the appropriate premium subscription.
Create a New Email Template
- Navigate to Account Settings
Email, then click Create New.
- Define Template Details
- Enter a Template Name.
- Select the Template Type
- Set the Reply-To Address.
- Click Save to create the new template.
Email Template Types
Each template type defines when the email is sent and who receives it. Common types include:
- Approved - Sent to learners when an administrator approves or rejects a request.
- Assessment Completed - Sent to administrators when a learner completes an assessment.
- Boost Notification - Sent to learners when a boost is required, based on course settings.
- Course Completed - Sent to administrators when a learner completes a course.
- Course Compliance Overdue Reminder - Sent to learners who are out of compliance; can also be sent manually via bulk action.
- Course Compliance Reminder - Sent to learners who need to complete a course by a specific date.
- Course Due Date Reminder - Sent to learners with an upcoming course due date.
- Daily Marking Required Digest - Sent daily to account owners, admins, and team leads for modules requiring administrative marking (for example, learner uploads).
- Event/ILT Reminder - Sent to learners registered for an upcoming instructor-led session with a reminder set.
- New Course Assigned - Sent to learners when a new course is assigned with notifications enabled.
- New Discussion Post - Sent to learners and administrators when there are new posts in a forum they are subscribed to.
- New Learning Path Assigned - Sent to learners when a new learning path is assigned with notifications enabled.
- People Assigned to a Team - Sent when users are assigned to a new team.
- Rejected - Sent to users whose enrollment request has been rejected.
- Request for Approval - Sent to designated approvers for courses or ILT sessions.
- Timed Release - Sent when a course in a learning path is released via timed release.
Edit Email Templates
- Click the template name (linked in blue) to open and edit any template.
- You can change the Reply-To Address, Template Name, Language, Subject, and Body text.
Permissions: Only users with the Account Owner role can edit email templates.
Mobile Text (SMS) Notifications
Each email template includes an option to send a mobile text (SMS) notification in addition to the email. To receive SMS messages, a user must:
- Have a valid mobile phone number in their user profile.
- Include the international country code (for example, +1 for the United States).
- Enable Text notifications in their profile settings.
Notes
- Customizing email templates is a premium feature and may not be enabled for all accounts.
- Editing templates allows you to tailor communications to your organization’s language and branding.
