When clicking a course or learning path invitation link, you may see a message stating, The link you used to log in is no longer valid. This article explains common reasons this occurs and how to resolve the issue.
Symptoms
The user receives the error message “The link that you have used to log in is no longer valid” after clicking a link in a Litmos-generated email.
Possible Causes
One-time login links are designed for single use and may expire after a set period. If the link is used, previewed, or scanned before the user clicks it, the system will display the error The link that you have used to log in is no longer valid.
The most common causes are listed below.
-
Most Common Causes
- The email link was accessed previously: Once a one-time link is used, it cannot be used again.
-
The link was scanned or previewed before the user clicked it: Some email servers automatically scan links for security, which counts as link usage.
- Email clients with link preview enabled may also trigger link usage when the email is opened.trigger link usage when the email is opened.
-
Other Possible Causes
-
Multiple emails contain the same login key: If a user receives multiple emails with the same login key, only the first link clicked will work.
Example:- A user receives an invitation for Course A and does not click it.
- Later, the user receives an invitation for Course B.
- Clicking the Course B link works, but clicking the older Course A link results in an error.
- The user was made inactive: If the user account was inactivated after the email was generated, the link will no longer work.
- The link has expired: One-time links expire after a defined time period (for example, 24 to 72 hours).
-
Multiple emails contain the same login key: If a user receives multiple emails with the same login key, only the first link clicked will work.
Possible Resolutions
- Users can sign in to Healthicity Compliance Manager and access training from the Training tab. Refer to the training invitation email for alternative access instructions.
- If your company’s email server scans links before delivery, the one-time link may become invalid. Share the information below with your IT team so they can configure Litmos links to bypass link scanning.
Clients Using Microsoft Email Services
- If you use a personal Microsoft email address (such as outlook.com, hotmail.com, or live.com), disable the Link Preview feature in your email settings.
- Follow Microsoft’s instructions to turn off link preview in Outlook on the web.
Microsoft 365 (Corporate Email)
If your organization uses Microsoft 365, your IT team can take the following steps:
- Go to security.microsoft.com and sign in (administrator permissions required).
- Review and update link scanning or safe links policies to prevent one-time Litmos links from being scanned before users click them.
- In the left navigation menu, select Policies & Rules.
- On the Policies & Rules page, select Threat Policies.
- Under the Rules section, click Advanced Delivery.
- Select the Phishing Simulation tab.
- Click Edit below the tabs.
-
In the Edit Third Party Phishing Simulations panel:
- Select the Domain drop-down.
-
Add your organization’s training domain.
Note: The domain added here must match the training domain used in your Litmos templates.
- If link scanning is enabled, configure Simulation URLs to Allow.
-
Enter each Litmos domain using the following format:
- yourdomain.litmos.com/*
- Example: If your Litmos URL is lenny.litmos.com, enter lenny.litmos.com/*.
Note:
- This issue most commonly affects users accessing email through webmail rather than the native Outlook desktop application.
- If you are not using a Microsoft email service, locate and disable any email security or preview settings that automatically scan or preview links from litmos.com. We recommend working with your IT department to identify and adjust the appropriate settings.
