Multi-factor/Two-factor authentication (MFA/2FA) adds an additional layer of security to your login. With MFA/2FA enabled, you will log in with your username and password like usual, and then provide an additional authentication code that only you will have access to on your phone.
To setup two-factor authentication, you will need to use a time-based one-time password (TOTP) app on your phone, also known as an 'authenticator' app, to view the MFA/2FA code when you are prompted to enter it.
Some popular authenticator apps are:
- Authy
- 1Password
- LastPass Authenticator
- Microsoft Authenticator
- Passwords (iOS)
- Google Authenticator
Note: Most authenticator apps are compatible with our system. Check your phone's app store for available authenticator apps.
Follow these steps to enable the Multi Factor Authentication for your login:
- You will need to download an authenticator app on your phone to proceed. To do this, navigate to your phones app store and search Authenticator. Download an available app, or use one recommended by your organization.
Note: The Passwords app on iOS does offer an authenticator option. Open the Passwords app on iOS and select the Codes section. Proceed to Step 2. - After logging into Compliance Manager, click your initials in the top right corner of the screen and choose the Security option from the dropdown menu.
Note: If you don't see the 'Security' option in the dropdown, reach out to your compliance administrator to request MFA/2FA be enabled for your organization. The account level setting, must be enabled by a Healthicity representative. - On the Security page, click the 'Set Up Two-Factor Authentication' button.
- A side panel will open and display your 'Recovery Codes'. You will need to click 'Download' or 'Copy' the save the codes to a safe place. Click 'Next' after clicking Download or Copy, to proceed.
Note: Recovery codes are used to access your account in the event you lose access to your phone with the authenticator app on it. When using a recovery code to access your account, do not include the dash. - Open the authenticator app on your phone. There will typically be a + symbol or an Add option to add a new account. Select this option.
- The authenticator app should then prompt you to either Scan QR Code, or Enter Key Manually, Setup Key, etc.
- If you select Scan QR Code in the phone app, point your phone camera at the QR code in the side panel (example in the red box in the image below). The authentication app will then set up the account for you. Save the account in the authenticator app when prompted. Proceed to Step 7.
- If you choose Enter Key Manually or Setup Key in the phone app, click the 'enter this code' text in blue in the side panel to view the Key (example highlighted in yellow in the image below). A popup box will appear, displaying a 32-character, alphanumeric Key. Enter this Key into the authenticator app and save the account. Proceed to Step 7.
- After saving the account setup in the authenticator app, enter the six-digit code displayed in the app on your phone, into the form on the side panel. Click the Complete Setup button once you've entered the code.
Note: The code shown in the image above is just an example and is not a valid code.
