This article describes the different levels of access users can have within Compliance Manager and explains how roles and permissions are assigned by location in your database. These role assignments ensure that users only access the areas relevant to their responsibilities.
It also explains how user roles are assigned when adding or updating a user profile. Except for the Admin role, each location added to a user requires a role assignment, and the article provides an overview of the permissions linked to each role.
Note: The location and role information for the starred (default) location in a user’s profile syncs to the Training Center, whereas secondary location data does not. For more details on Training Center access levels, refer to the additional information provided here.
There are four user role types in Compliance Manager, with the Manager role divided into two specific subtypes. When creating a new user, the Add Location option appears under the Locations and Roles section, allowing you to assign the appropriate role for each location. When editing an existing user, the role selection is displayed beneath each assigned location. You can click any role type to jump directly to its detailed description.
Admin
The Admin role is assigned only at the main (global) location and provides full access to all areas of the account. Users with this role can manage system-wide settings and oversee activity across every location.
Admins have elevated permissions within the Admin module, allowing them to:
View, add, archive, and edit users, locations, and roles.
Create and edit lists, fields, and templates.
Monitor compliance activity across all locations.
Assign tasks to any user at any location.
Note:
Additional locations cannot be assigned to a user profile when the Admin role is selected.
Only Admin users have the ability to manage locations, fields, and lists.
Manager
A Manager-level user can oversee activity and assign tasks within specific locations and modules where they have permissions. When adding a Manager to the system, you can set their access scope based on the needs of that location.
Managers are divided into two groups: Full Access and Custom Access.
Full Access
A Full Access Manager has access to all modules included in the location’s subscription. They can view and monitor data for that location and assign tasks to users as needed.
Custom Access
A Custom Access Manager can assign tasks and monitor data only within the modules they have access to. Module switches control which parts of the program they can reach. These permissions only apply to the location listed in their user profile.
Using the toggle switches shown in the manager setup screen, administrators can enable access to individual modules, including:
Incidents - Manage and monitor incident activity.
Risk Assessment - Access and oversee risk-related data.
Attestations - View and manage attestation records and assignments.
Audits - Review and manage audit activity.
Documents - Participate in document review and approval workflows.
Legal Manager - Access legal-related compliance areas.
IT Manager - Manage IT or SSO-related compliance tasks.
User Management - Perform limited user management functions for assigned locations.
Third Party - View and manage third-party compliance information.
Training - Access training activity for the assigned location.
These modules can be enabled individually, allowing highly customizable permissions that apply only to the specific location assigned to the user.

Employee User
An Employee User has basic access to Compliance Manager and can log in to:
View their task list
Report an incident
Access assigned training and documents
Read bulletins

View and create personal to-do lists
This role is designed for users who need to complete tasks and participate in compliance activities without requiring administrative or managerial permissions.
