This article explains how to assign View Only access, includes an example to demonstrate its application, and describes how to filter the Incident Queue specifically for View Only access.
Privileged Users (Admins, Full Access Manager, Custom Access Manager–Incidents): These users can view and act on all incident records. However, if assigned View Only access to a record, their role permissions are overridden, restricting them to viewing the record with no menu or action access. These restrictions are lifted once View Only access is removed.
Investigators & Final Approvers: These employee-level users can act on incident records tied to their assigned tasks, with actions limited to their role (e.g., investigators cannot perform final approvals). If assigned View Only access, their standard task-based permissions for that record are overridden, allowing only record viewing.
Follow these steps to grant View-Only access to the selected incident:
- Navigate to the desired Incident Details page.
- Click the More Options icon and select View Only from the list. The View Only window will then appear, showing the available users.
- Select the desired user checkbox and click Save to grant access.
- Privileged users, including Admins, Full Access Managers, and Incident Managers, can grant unprivileged users View Only access to incident records.
- View Only access allows users to view record details and expand sections, but prevents them from performing other actions.
- View Only users cannot edit, add, or delete details; print or export records; or send messages or add status updates.
- View Only access overrides the user’s existing role and permissions for the incident record.
- When access is assigned, users receive a notification email and a message in their Compliance Manager Messages list with a link to the incident.
- To remove access, click the X next to the user’s name.
