This article explains how to use the Mass Actions feature to change the document owner for multiple documents at once. This function allows administrators and users with the right permissions to efficiently reassign ownership without editing each document individually.
Follow the Steps to edit the Document Owner using Mass Actions:
- Navigate to the Documents. The My Documents page will be displayed by default.
- To view the selected documents, use the Filters panel and select the required filter. The available records will be listed on the screen.
- You can use the checkboxes to select one or more documents whose owner you want to change.
- Click the mass actions icon and select Edit Document Owner from the menu.
- A Select Employee window will appear. Choose the new owner from the employee list or use the search option to find a specific user.
- Click Next. A confirmation message will be displayed.
- When prompted with a confirmation message, review the details carefully and choose the desired checkbox:
- Change will only apply to published documents - Ownership can only be reassigned for documents that are already published.
- Change does not apply to folders - Ownership updates are limited to documents and do not affect folder structures.
- Click Save Document Owner to apply the changes.
- Once processed, the selected documents will display the newly assigned owner in the Owner field.
