The Public Incident Reporting in Compliance Manager enables non-licensed users to report incidents directly through a unique URL or QR code, ensuring broader accessibility for capturing concerns. It provides organizations with a standard public reporting template that can be duplicated without limit and customized to reflect branding, including adding a company logo. Each duplicated template can be location-specific, assigned a unique URL, and managed with distinct permissions. Reporters receive a unique Reporter ID in their confirmation message, allowing for accurate tracking and follow-up of submitted incidents.
Workflow Tips for Public Incident Reporting
When Public Incident Reporting is enabled, a Triage location is automatically added to your system. This location plays an important role in managing incidents submitted through the public form.
It’s important to note:
- Do not archive the Triage location. If you decide not to use Public Incident Reporting and want this location removed from your list, reach out to Healthicity Support at support@healthicity.com or call 877-777-9963 for assistance.
- Do not rename the Public Incident Reporting Triage location, as this will interfere with its functionality.
To ensure proper management of incidents:
- Assign Full Access Managers or Incident Managers to the Triage location so they can view and manage incidents directed there.
- Any incident reported through the public form will automatically be routed to the Triage location with a status of Triage.
Public Incident Reporting templates offer the same permission options as other incident reporting templates, along with a few customization features. You can:
- Assign an accountable person to the template permissions.
- Customize the reporting form with a title, greeting instructions, and closing instructions.
- Add your organization’s logo to create a branded reporting experience.
Important Notes on Template Customization
While you can add custom fields to your Public Incident Reporting templates, do not add Compliance Manager standard fields such as Estimated Risk, Title, Details of Incident, or any other fields that already exist in your non-public incident reporting templates. Adding these fields will cause the reported incident record to appear blank.
