Using .csv to bulk load data into a system can be challenging. Here are are a few tips to help you successfully complete uploading into Healthicity Audit Manager.
- The one exception to the asterisk required rule is Practice/Provider or Coder/Coder organization; you only audit the provider or the coder, never both.
- Uploading 'Provider ID' is strongly recommended. Using 'Provider ID' will prevent errors caused by mismatched provider names.
- Without 'Provider ID' three fields in the claim sheet must identically match what is loaded into Audit Manager; Provider Name, Practice, and Payer. The recommended practice is to download provider/practice/and payer lists from your practice management software before entering into Audit Manager to determine spelling and formatting.
- Always use a newly downloaded template - Copying and re-using existing templates will work most of the time, but the only way to guarantee that stray data wasn't missed is to start with a new, blank template.
- Keep the format the same - Changing column headers will cause upload files to fail
- Avoid special characters - Characters such as /, $, [,],<,> sometimes cause errors in uploads to systems.
- Watch for empty or incomplete rows - Sometimes when data is pasted into a document, extra content is accidentally included in the paste. It's always a great idea to visually inspect your file for obvious errors before uploading.
- Each CPT/HCPCS code for the same patient encounter must be entered into its own row; all cells to the left of the CPT/HCPCS code, must contain identical patient info for the same DOS/encounter.
- Dx Codes will be mapped to the CPT/HCPCS code on the same row.
- We recommend including decimals in your Dx codes; without decimals, the Dx descriptions built into Audit Manager will not work.
- If you add any custom fields to your system, they will be added in the far right columns after the Dx Codes - this will enable you to import custom data fields.
- The upload limit is 500 claim lines. Anything beyond 500 will cause the whole file to fail.
